Introduction & Scope

This Privacy Policy describes how visitor and client personal information is collected, used, disclosed, and protected when you visit The Light Guides’ website, https://www.tlg4all.com/ or participate in our remote energy work sessions. This is in conformance with the California Consumer Privacy Act (CCPA/CCRA) and the California Online Privacy Protection Act (CalOPPA). Under the California Consumer Privacy Act (CCPA/CPRA), data minimization is required. CalOPPA requires commercial websites that collect Personal Identification Information (PII) from California residents to conspicuously post a Privacy Policy. This Privacy Policy also addresses EU requirements defined in the GDPR of 2018.

​The Light Guides provides non-medical energy work sessions. Because The Light Guides does not operate as a licensed medical facility or covered entity, your data is not governed by federal HIPAA regulations. As a result, any communications and documentation (emails, texts, session notes, recordings, client contact information, payment information) are not legally required to be protected by HIPAA. However, your data is protected under strict consumer privacy laws and The Light Guides internal commitment to confidentiality.

​Whether you are in California, visiting from the European Union (EU), or elsewhere in the world, we are committed to protecting your data privacy. By using our website or booking a session, you agree to the practices outlined below.

I. California Privacy Rights: Do Not Sell or Share My Info

If you are a California resident, you have the right to opt-out of the "sale" or "sharing" of your personal information. While The Light Guides never sells your personal information for monetary compensation, our website utilizes standard Wix automated identifiers, cookies, and analytics scripts that may transfer data (such as your IP address, browser type, and behavioral interactivity) to third-party tools. Under California law, this automated metadata transfer is classified as "sharing" personal data. 

To fully opt-out of this sharing, you can:

  • Click our Cookie Banner Settings to reject non-essential tracking cookies, which is located at the bottom of every page in The Light Guides website.

  • Turn on the Global Privacy Control (GPC) signal in your web browser.

  • Submit an explicit opt-out request directly to us by emailing tlgeveryone@gmail.com

If you are a resident of the European Union (EU), this is managed through the General Data Protection Regulation (GDPR) of 2018. The following are required by California CCPA/ CCRA privacy laws and the GDPR.

a. Right to Know / Right to Access: Known as the Right to Know or Right to Access, it allows California residents to ask The Light Guides what personal data they have collected, used, shared, or sold about you over the past 12 months.

b. Right to Delete/ Right to Erasure: Visitors can request that The Light Guides delete the personal information they collected from you, with the exception of data required to run the business.

 

c. Right to Correct / Right To Rectification: In California law, it is also called the Right to Correct Inaccurate Personal Information. You can request The Light Guides to correct inaccuracies in personal data that we maintain about you. 

 

d. Right to Restrict Processing/ Do Not Track (EU): In the GDPR, It allows EU citizens to order a business to store their data but stop processing it or using it temporarily. The Light Guides website respects “Do Not Track” browser signals and automated  global privacy control choices.

 

e. Right to Limit the Use and Disclosure of Sensitive Personal Information (California): Instead, California gives residents a narrower, targeted version that limits use of sensitive PI such as social security numbers, precise geolocation, or racial data.

II. Types of Information We Collect

The Light Guides collect the minimum amount of necessary information from each client to run the business. We do not collect or process sensitive personal information as defined by the CPRA.

 

This data is used  for various purposes, as described below. The Light Guides does not sell or share your data with any other group or person. Below are details of what data is collected, how it is kept, and what it’s used for.

 

a. Client Name and Contact information- will be collected and kept in Wix if the client has agreed to this in the Contact Me section of the website by clicking the corresponding checkbox in that section and submitting their information on the form. This information is kept for administrative purposes. Your contact information will not be sold, rented, or leased to any third parties. Your data will only be shared with essential third party service providers who help run our business. We may share information if required to comply with applicable California laws, respond to a valid subpoena, or protect our operational rights.

 

b. Service & Booking Details- information you provide during intake or scheduling regarding your remote energy work session. This is not collected in Wix. It is collected directly by The Light Guides and documented in an Excel spreadsheet for bookkeeping purposes. 

c. Payment information- payments will be directly processed securely using a third party app, Paypal. The information collected includes Client Name,  Billing Address and commercial transaction records. Once the transaction is completed, sensitive payment information (e.g. credit card numbers or bank account numbers) are not stored by The Light Guides. Paypal will keep client contact information for bookkeeping purposes.

d. Client agreement on The Light Guides’ Terms & Conditions, Privacy Policy and Accessibility forms- this pertains to individuals who have contracted The Light Guides for energy work. These forms are shared by The Light Guides through Google Docs and are signed and dated by clients online. The signed documents will be kept electronically indefinitely in PDF format in a dedicated secure Google Drive folder. Since these are not handwritten signatures, there is no risk involved with keeping these forms. They are required by The Light Guides to show compliance with the California Consumer Privacy Act.  These documents are re-signed annually by returning clients. 

e. Session and Consultation Information- during virtual meetings between the client and the energy worker and during remote energy work sessions, the energy worker may take notes regarding the client’s goals, and notes about the session that are subsequently used to prepare the summary report. Once the summary report has been submitted to the client, handwritten notes are shredded as soon as possible. The Light Guides implements digital security protocols to protect your information, but please note that no method of transmission over the internet is 100% secure. 

f. Digital Photos and MP3 files- the summary report may be sent as a written report, an image of a written report (PDF or photo), or as an audio narration of the session as an MP3 file. Summary report files are sent via email. These photos or MP3 files will be periodically purged from the energy worker’s mobile phone data, “Recently Deleted” folder, and / or computer hard drive, depending on where they are stored, once delivery of the summary report is confirmed. 

g. Email history- The Light Guides use a dedicated Gmail account to send communications. Email may be used for scheduling purposes, to send summary reports and for marketing purposes if you have opted in. Sent emails containing summary reports will be maintained for bookkeeping purposes to prove delivery of services. Emails older than 1 year will be deleted to minimize data footprint.

h. Text messaging history- text messaging will be used for booking appointments. If texting is used to send summary reports to accommodate accessibility needs, these texts will be deleted from The Light Guides’ phone upon confirmation that the summary report was received by the client.

i. Virtual meetings- will take place on any secure platform such as Zoom, Facetime, or Google Meet. Virtual meetings will not be recorded. Handwritten notes will be taken by the energy worker for the purpose of the session (see above section called Session & Consultation Information). Please consult the privacy policies of these meeting platforms regarding their server data practices.

j. Technical & Usage Data- the following information is collected by Wix for security, performance, functionality, thereby optimizing your website experience: 

1. Your IP Address: a unique string of numbers assigned to your internet connection. This information is collected for security purposes and geographic routing. It helps the Wix Security Team identify potential cyber threats (like DDoS attacks or malicious bots) and provides rough geolocation data to power your Wix Analytics (e.g., showing The Light Guides what country or city your service clients are visiting from).

2. Browser Type: this is the software that you are using to view Wix from. For example, Google Chrome, Apple Safari, Mozilla Firefox, etc. This information is collected by Wix for technical optimization to ensure your layout remains functional and professional.

3. Cookies: small text files saved on the client’s device when browsing the site. Some of these are essential for security and session stability, they keep the site secure and load pages; these cookies cannot be blocked. The rest of the cookies can be blocked- they are are functional (remembering language preferences, region settings and custom layouts used to navigate the website) and marketing cookies (Tracking your browsing habits across different sites to deliver targeted advertisements), or to integrate with marketing pixels (tracking which pages you visit and how long you stay to help the owner improve the site.) 

Methods to control cookies on a Wix site:

                      i.         The Cookie Consent Banner: Look for a pop-up banner when the page loads. Legally compliant Wix sites feature an "Advanced Settings" or "Cookie Settings" button within this banner. Clicking it allows you to toggle specific categories on or off before accepting.

                    ii.         The Privacy Policy Page: Scroll to the website's footer and click their Privacy Policy link. Wix automatically generates text for owners that includes a dedicated section on cookies, often containing a direct link to re-open the consent manager or opt out of tracking.

                  iii.         Universal Browser Controls: You can block Wix tracking entirely through your browser settings. Adjust your preferences in Google Chrome, Apple Safari, or Mozilla Firefox to block third-party cookies or clear existing site data.

                  iv.         Global Privacy Control (GPC): Activate a GPC browser extension or use a privacy-focused browser like Brave. Wix banners are designed to recognize these global signals and will automatically opt you out of non-essential tracking without requiring you to click anything.

4. Log Files: automatic, server-side text records that document every single action that occurs on a website. Used for system health and error diagnostic tracking.

 

5. Web Beacons: Tiny, invisible clear images (also known as pixels or clear GIFs) embedded within webpages or confirmation emails. When a website sends an automated service confirmation or marketing email, web beacons tell if the client actually opened the message or if they clicked on the service link inside, helping to gauge customer communication habits.

 

6. Behavioral interactivity: exact click patterns, scrolling behavior, page response times, and user session duration. This is collected by Wix for Site Optimization and user experience enhancement.

7. Communication Content: The actual text written in contact forms. This allows The Light Guides to read client's specific requests, reply to their inquiries, and store a historical record of business communications to deliver The Light Guides’ services accurately.

III. How We Use Your Data & Our Legal Basis (GDPR Compliant)

If you are located in the European Economic Area (EEA), we must establish a lawful basis for processing your data under the GDPR. We utilize your data for the following reasons:

 

a. Performance of a Contract- to process payments (in Paypal directly, not linked to Wix), to schedule appointments (manually outside of Wix), and deliver the remote energy work sessions you purchase (outside of Wix).

 

b. Our Legitimate Interests- to maintain website security, run site diagnostics, and analyze aggregate traffic performance through Wix Analytics. There is no impact in Wix to payment transactions because they are managed directly in Paypal.

 

c. Your Explicit Consent: To place non-essential marketing cookies, track website pixels, or send you promotional newsletters (which you can opt out of at any time).

IV. CAN-SPAM Act (email marketing)

Under the CAN-SPAM Act, header or email subject lines will not be misleading. 

Emails will have the visible manner to opt out or unsubscribe at the bottom of every message. Opt-out requests will be processed within 10 business days.  

 

The Light Guides does not use texting for marketing purposes.

V. Data Retention: How Long We Keep Your Data

We do not store your data indefinitely. We retain your contact information and session booking history for exactly 3 years following your last active service session to comply with local tax, accounting, and legal record-keeping obligations, or until a deletion request is made by the client. After this timeframe, your data is securely deleted or anonymized.

VI. International Data Transfers (EU to USA)

Our website is hosted on the Wix platform. If you are accessing this site from outside the United States, please note that your personal information will be transferred to, stored, and processed in the USA. Wix protects these cross-border data transfers by utilizing strict Standard Contractual Clauses (SCCs) via the Wix Data Processing Addendum to guarantee your data receives an equivalent level of protection as it would within the EU.

VII. Changes to this Privacy Policy

We reserve the right to modify this Privacy Policy at any time. Any changes will become effective immediately upon posting the updated text to The Light Guides' website.
